1. Who we are
Dalton & Holland Accounting Ltd (company number 17434455) is the data controller for personal information submitted through this website. The registered office and business address is 35, Little Close, Kingsteignton, Newton Abbot, TQ12 3YZ, United Kingdom. The director is Ian Mark Baker. This policy covers the website at daltonholland.co.uk. Where a client engagement is agreed, further information about the handling of accounting and tax records is provided in the engagement documentation for that work.
2. What information we collect
We collect only what you choose to send us. Nothing on this website requires you to create an account, and we do not buy or scrape contact data.
Contact form data
Where you use the contact form, we receive your name, email address, telephone number if you choose to provide one, the subject you select, and the content of your message.

- business structure;
- service interest;

Accounting, tax and business information
Where you voluntarily include accounting, tax, business, income, expense, record, deadline, relief, credit, offset, bookkeeping, VAT, payroll or advisory information in a form field or a message, that information is processed as part of responding to your enquiry.
Communication data
Email correspondence with us, and telephone communication where you have supplied a number and a call is arranged, is retained as a record of the enquiry and any advice discussed.
Technical data
Standard web server logs may record IP address, browser type, referring page and timestamps. These are used for security and to keep the site working, not for profiling.
3. Why we collect it
- To read, understand and reply to your enquiry.
- To assess whether the support you are asking about is something we can offer.
- To confirm scope, evidence requirements, responsibilities and timing.
- To maintain a record of what was asked and what was said in reply.
- To meet legal, regulatory and record-keeping obligations that apply to us.
- To keep the website secure and functioning.
We do not use enquiry information for automated decision-making or profiling, and we do not send marketing to enquirers who have not asked for it.
4. Lawful basis for processing
Under the UK GDPR, we rely on the following lawful bases:
- Consent — where you submit a form and tick the consent box, for the purpose of receiving a reply. You can withdraw consent at any time.
- Legitimate interests — responding to business correspondence, maintaining records of enquiries, and protecting the website against misuse.
- Steps prior to entering a contract — where an enquiry progresses towards an agreed engagement.
- Legal obligation — where retention or disclosure is required by law.
5. Information we do not request
The public forms on this website deliberately do not ask for, and you should not send through them:
- Unique Taxpayer Reference (UTR) or National Insurance number;
- HMRC Government Gateway credentials;
- bank login details, payroll passwords or any other credentials;
- card, account or other payment details;
- bank statements, tax documents or other financial records as attachments.
Sensitive accounting and tax documents should only be shared through a secure channel agreed after initial contact. If such information is sent to us unsolicited through a public form, it is deleted from the enquiry record where it is not needed.
6. Cookies and analytics
This website uses a small number of cookies. Essential cookies are required for the site to function and to remember your cookie preference. Analytics cookies, where used, are optional and are not set unless you accept them through the cookie banner. No analytics or third-party tracking is loaded before consent is given.
Full detail, including how to change or withdraw your choice, is set out in the Cookie Policy.
7. Sharing and third-party processors
We do not sell personal information and we do not share it for advertising. Information may be processed by service providers acting on our behalf, which may include:
- website hosting and email providers;
- a form-handling service or endpoint used to deliver enquiry submissions;
- accounting, tax, payroll or practice-management software used to deliver agreed work;
- analytics providers, only where analytics cookies have been accepted.
Where an engagement is agreed, information may also be submitted to HMRC or Companies House as part of the work, with your approval. HMRC, Companies House, software providers, banks and other third parties operate under their own rules, terms and privacy notices, which are separate from ours.
Information may be disclosed where required by law, by a regulator, or by a court, or where necessary to establish or defend legal claims.
8. How long we keep information
Enquiries that do not lead to an engagement are kept only as long as needed to deal with the enquiry and to keep a reasonable record of correspondence, and are then deleted. Where an engagement is agreed, records are kept for the period required by tax, company and professional record-keeping obligations, and no longer than necessary after that.
You may ask us to delete your enquiry record at any time, subject to any legal obligation to retain it.
9. Security
Reasonable technical and organisational measures are used to protect information, including encrypted connections to this website, access controls, and limiting who can see enquiry data. No method of transmission or storage is completely secure, which is why sensitive financial documents should be sent only through an agreed secure channel rather than through a web form or ordinary email.
10. Your rights
Under UK data protection law you have the right to:
- ask what personal information we hold about you and receive a copy;
- ask us to correct information that is inaccurate or incomplete;
- ask us to erase information where there is no ongoing reason to keep it;
- ask us to restrict how we use it;
- object to processing carried out on the basis of legitimate interests;
- request portability of information you provided to us;
- withdraw consent at any time, without affecting processing already carried out.
To exercise any of these, email [email protected]. We will respond within the statutory timescale.
If you are not satisfied with how we have handled your information, you can complain to the Information Commissioner’s Office, the UK supervisory authority for data protection, at ico.org.uk. We would encourage you to raise it with us first so we have a chance to put it right.
11. Children
This website and the services described on it are directed at adults and businesses. We do not knowingly collect personal information from children.
12. Changes to this policy
This policy may be updated to reflect changes to the website, our processes, or the law. The date at the top of this page shows when it was last revised. Material changes will be reflected here rather than notified individually.
